1. Acceptance of Terms
hawkO, a venture of Surfboard India Pvt. Ltd. is operated by Surfboard India Pvt. Ltd. ("we", "us", or "our") at Surfboard Pvt. Ltd, Virar, India. Contact: admin@hawko.ai.
By accessing or using hawkO, you agree to comply with and be bound by these Terms and Conditions and our Privacy Policy. If you do not agree, do not use the service. These terms are a contract between you and Surfboard India Pvt. Ltd..
2. Description of Service
hawkO provides meeting intelligence features including meeting transcription capture and summary generation. When you connect Jira Cloud, you may create Jira issues from meeting notes and transcript topics. Insights are generated only from user-authorized meeting data and are not used for profiling unrelated to user-requested functionality.
3. User Accounts
Some features require an account. You agree to provide accurate information and remain responsible for activity under your account. Sign-in is Google OAuth only and requires a work or organization email on a non-consumer domain (not personal providers such as Gmail, Yahoo, Outlook.com, or similar free email services). After sign-in, you may connect Google Calendar using any Google account you authorize.
4. Acceptable Use
You agree not to:
- Use the service for illegal or fraudulent activities.
- Attempt unauthorized access to systems or accounts.
- Reverse engineer, copy, or misuse the platform.
- Use the service in ways that damage or impair operation.
5. AI-Powered Features
AI outputs may not always be accurate or complete. You are responsible for reviewing outputs before relying on them for important decisions.
6. Speech-to-Text and Data Processing
Speech and meeting data processed by hawkO can be retained as transcription records and related artifacts, as described in our Privacy Policy. Transcription may use third-party providers listed there.
7. Third-Party Services
hawkO uses named third-party processors (including OpenAI, Google Authentication, Deepgram, Soniox, Neo4j, ChromaDB, Slack API, Atlassian (Jira Cloud API), and PostHog) only to deliver the service. What each processor receives, including whether it receives Google user data, is documented in Section 7 of our Privacy Policy.
8. Cookies and Analytics
hawkO uses authentication cookies to maintain sessions and PostHog analytics cookies as described in Sections 5 and 6 of our Privacy Policy.
9. Google User Data
Collection, use, storage, sharing, retention, and your controls for Google user data (including Calendar) are governed by our Privacy Policy (Sections 2, 3, 4, 8, 10, 11, and 12). In summary: hawkO currently supports Google Calendar only; it requests read-only calendar event access when you sign in with Google and when you connect additional Google Calendar accounts; sign-in is Google OAuth only and requires a work or organization email on a non-consumer domain (not personal providers such as Gmail, Yahoo, Outlook.com, or similar free email services); you can disconnect additional Calendar connections in hawkO settings; sign-in Calendar access is revoked via Google Account permissions; deleting your main account (by email request) removes data for all connected Calendar accounts.
10. Limited Use Compliance
hawkO's use of data received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements. We do not:
- Use Google user data for advertising or ad targeting.
- Sell Google user data to any third party.
- Use Google user data to train AI or machine learning models.
- Share Google user data beyond the named processors in our Privacy Policy, and only to the extent described there.
- Use Google user data for any purpose other than providing the meeting workflow features you have requested.
11. Data Retention and Deletion Requests
Retention and deletion of Google user data and meeting data follow our Privacy Policy (Section 11). hawkO does not offer self-service account deletion. Email admin@hawko.ai to request deletion of your main account and all associated data (including every connected Calendar account). We aim to send an initial response within 24–48 business hours and complete deletion within 30 days after we verify your request.
12. Your Controls and How to Revoke Access
Disconnect additional Calendar integrations, Slack, or Jira in hawkO settings, or revoke OAuth access at myaccount.google.com/permissions (Google; hawkO may appear as hawkO or hawkO AI) or id.atlassian.com/manage-profile/apps (Jira), or remove hawkO from your Slack workspace (see Privacy Policy Section 12). Sign-in Google access cannot be revoked inside hawkO; use Google Account permissions. Full details are in Privacy Policy Section 12.
13. Intellectual Property
All hawkO platform content, software, and branding are owned by Surfboard India Pvt. Ltd. or its licensors. You may not copy, distribute, or reproduce any part without prior permission.
14. Service Availability
We aim for reliable service but do not guarantee uninterrupted or error-free operation. Maintenance, infrastructure issues, and third-party interruptions may occur.
15. Limitation of Liability
To the fullest extent permitted by law, hawkO is not liable for indirect or consequential damages, data loss, business interruption, or inaccuracies in AI-generated outputs.
16. Changes to Terms
We may update these terms from time to time. Continued use of hawkO after updates means you accept the revised terms.
